Privacy Policy

This Privacy Policy explains what data TailorBack ("we", "us") collects, why, and what we do with it. TailorBack is operated by Amith AshokReddy Rajolkar, a private individual based in Germany (not a company), who is the data controller. Full operator details are in our Impressum. 1. Data we collect

• Account details: your name and email address (via Google sign-in or email sign-up), a securely hashed password (email accounts only), email-verification status, and optionally your country and ZIP/postal code.
• The content you submit: the CV/résumé text or files you upload and the job descriptions or job links you provide.
• Generated content: the tailored résumé, cover letter, match score, and gaps we produce, plus basic metadata (which AI provider was used and how long generation took).
• Billing data: a record of credit purchases and grants. Card payments are handled by Stripe; we receive confirmation and a Stripe session reference, not your full card number.
• Feedback and reviews: if you use the feedback form, the star rating and any comment you submit, plus the display name and role you provide only when you tick the box allowing us to publish your review.
• Technical data: standard server logs (e.g. request times) needed to operate and secure the Service.

2. How uploaded files are handled

When you upload a .pdf or .docx, we extract its text and then delete the uploaded file from disk immediately, we do not retain the original file. The extracted text is stored with your generation record so you can revisit and edit the result.

3. Third-party AI providers

To generate documents, your CV text and the job description are sent to one of the following AI providers (in fallback order, until one succeeds):

• OpenAI
• Google (Gemini)
• Anthropic (Claude)

These providers process the text to return the tailored output. Their handling of data is governed by their own terms and privacy policies. We send only the CV text and job description needed for the task, not your name, email, or payment details, beyond what you have chosen to include in your CV text itself.

4. Sharing, processors & legal disclosure

We rely on the following processors to run the Service:

• Google OAuth, if you sign in with Google, Google provides us your email, name, and a user identifier.
• Stripe, processes payments and sends us signed confirmation of completed checkouts.
• [Hosting / email provider], hosts the Service and, once configured, sends account-activation emails.

We do not sell your personal data or email address, and we do not share it with third parties for their own marketing. Apart from the processors above, we share your data only when you direct us to, or when we are required to do so by law, regulation, legal process, or a valid government request, or where disclosure is reasonably necessary to investigate fraud or protect the rights, safety, and security of TailorBack and its users.

5. Why we use your data

• To create your account and authenticate you.
• To generate, store, and let you edit and download your documents.
• To track free and paid generation credits and process purchases.
• To operate, secure, debug, and improve the Service.
• To send essential account emails (e.g. activation).
• To act on your feedback and, only where you have given consent, to display your review (with the display name and role you provided) publicly as a testimonial. A consented review rated four stars or higher may be published automatically; you can ask us to remove a published review at any time by contacting contact@tailorback.com.

6. Retention

• Downloadable files. The generated .docx/.pdf résumé and cover letter are deleted automatically after 7 days, or sooner if you delete them from the results screen.
• Generation records are retained by TailorBack. Deleting your downloads removes the files and your access to them, but it does not erase the underlying generation record. We keep that record, including the job description you submitted, the extracted text of your CV, the generated résumé and cover letter, the match score, and related metadata, in our systems for our own records, analytics, quality and abuse-prevention, and to operate and improve the Service. We do this on the basis of our legitimate interests in running and improving TailorBack, and we keep these records for as long as necessary for those purposes. These records are accessible to TailorBack administrators.
• As a result, a document or generation you remove from your account may still exist in our backend database and administrative tools after it disappears from your downloads and history.
• Your account and credit records are retained while your account is active. You can request deletion of your account and the personal data we hold by contacting contact@tailorback.com; we will action such requests subject to any data we are legally required or permitted to retain.

7. Your rights

Depending on your location (for example under the EU/UK GDPR), you may have the right to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact contact@tailorback.com. You may also change your password and delete your downloadable documents directly in the app, note that this removes the files only; as explained in Section 6, the underlying generation record is retained. For deletion of the data we hold, contact us at contact@tailorback.com.

You also have the right to lodge a complaint with a data-protection supervisory authority. The competent authority for TailorBack is the Berliner Beauftragte für Datenschutz und Informationsfreiheit (BlnBDI).

8. Security

We use measures such as hashed passwords, account-scoped access to your documents, expiring download links, and signed payment webhooks. No method of transmission or storage is perfectly secure, but we work to protect your data.

9. Children

The Service is not directed to children under 16, and we do not knowingly collect their data.

10. International transfers

Because we use third-party AI and infrastructure providers, your data may be processed in countries other than your own. Where required, we rely on appropriate safeguards for such transfers.

11. Changes

We may update this Policy. The "Last updated" date above reflects the latest version; material changes will be highlighted in the app where appropriate.
